What a timesheet has to contain

German law asks for four entries in an attendance record: start of work, end of work, length of breaks and the total working time that follows from them. Our templates carry these fields in exactly that order.

A client timesheet follows a different logic. What counts there is not the clock but the work delivered: project, task, duration. Once the client signs, the work is accepted, and in consultancies, agencies and law firms the document often goes out with the invoice as proof. That is why both formats are included.

Excel when there is maths

The formulas handle the addition and transcription errors disappear. For anything created at a desk, Excel is the faster choice.

PDF when there is a signature

At the client site, on a construction site or in a client meeting, paper beats any file. Print it, fill it in, have it signed.

Where templates stop working

For one person and one month a single file is entirely sufficient. For twelve people and thirty projects it turns into a pile of files that nobody consolidates at month end. Anyone who has collected timesheets from four different inboxes knows the moment.

Are the templates really free?

Yes. No account, no email address, no registration. You click download and the file is on your machine. Commercial use is included.

Does the Excel template calculate the hours itself?

Yes. You enter start, end and break minutes, and the hours column plus the monthly total update immediately. The date column derives from the month and year fields. Short months stay empty automatically, so in February rows 29 to 31 remain blank.

Is an Excel timesheet enough to meet the record-keeping duty?

No particular format is prescribed for recording working time, so Excel is permitted. It gets thin once several people record their hours: files get overwritten, later changes cannot be traced, and any analysis takes manual work. A system with a history holds up better at that point. This is not legal advice, so ask your lawyer if in doubt.

What is the difference between an attendance record and a timesheet?

An attendance record documents presence towards the employer and needs clock times. A client timesheet evidences delivered work and needs project, task and duration. Both variants are above, each as Excel and as PDF.
