What project management means for a service firm
In a consultancy, an agency or an engineering office, project management rarely means a Gantt chart. It means: who works at which rate on which engagement, how much budget is left, and what the client expects as proof at the end of the month.
In QUANTICAL.ERP the project is therefore where these rules are set. Every time entry, every invoice, every timesheet and every report hangs off a project. Whoever sets the project up properly has already configured the rest of the chain.
The project editor gathers what is otherwise spread across proposal, contract, emails and Excel: client and contact person, project lead, the team with its hourly rates, the budget per period and the billing rules. From payment terms down to whether the client wants to see the timesheet in their own portal.
How projects work in QUANTICAL.ERP
Create the project
Project code and name, an optional project group, the client, the project lead and whoever acquired the engagement. Plus duration, external reference and the client's purchase order number, so the invoice later passes their approval without a query. Internal projects are marked as such and stay out of billing.
Assign the team, rates per person
Only people assigned to the project can book on it. Each assignment carries a role within the project and its own hourly rate with a validity period. A senior is billed differently from a junior, and if the rate rises at the turn of the year, the new one applies from that date without touching old bookings.
Budget per period and planned hours
Budgets are stored with an amount and a validity period, so a year-long project can run quarterly budgets. Planned hours per employee and period add the capacity side to the budget. In controlling you see continuously how much is used, how much will be needed until the end at the current booking rate, and when it gets tight.
Billing rules on the project
Single invoice, grouped invoice across several projects or per client, credit note procedure or no billing at all. Payment terms in days. Whether the client receives invoice and timesheet in one file, separately or only one of the two. And whether a timesheet is uploaded in QUANTICAL.ERP, submitted in a third-party system or not required. The monthly invoice run follows these rules automatically.
Flags for bonus and billing
Projects carry whether they are billing-relevant and whether they are bonus-relevant. Bonus profiles can thus target the revenue or budget of individual projects, and the people who acquired an engagement are rewarded through their projects.
Where project lists in Excel and tools without billing fall short
The project list in Excel knows name, client and budget. It does not know the rates per person, the bookings or the rule by which the project is billed. At month end someone pieces this together from the proposal and the email thread, for every project anew.
Project management tools from software development solve task planning, but they stop before the invoice. Whoever uses them exports hours and types them into an invoicing program. That handover is where the errors the client finds come from: hours billed twice, wrong rate, missing proof.
And in both cases the budget is a number someone reconciles with the actual state by hand. Whether it still holds on the 20th of the month is something the project lead learns when they ask, not when it happens.
Frequently asked questions about project management
Can hourly rates differ per employee and project?
Yes. Each assignment of an employee to a project carries its own hourly rate with a validity period. The same consultant can book on two projects at two rates, and a rate can rise on a given date without changing earlier bookings.
How does the budget work?
A budget has an amount and a validity period. A project can run several budgets in sequence, for example per quarter. Consumption comes from bookings times hourly rate and is shown in controlling against the budget and the projection to the end of the project.
What happens to bookings on a project that has been invoiced?
They are locked with the invoice run and can no longer be changed. In addition you can set a locking rhythm per organization, daily, weekly or monthly. Owners can lift locks when needed.
Can we bill several projects of one client on a single invoice?
Yes. The billing type on the project decides whether it is billed individually, grouped across several projects or grouped per client. The credit note procedure is available as a type as well.
How do existing projects get into the system?
Through the Excel template of the import wizard with sheets for clients, projects, project assignments, hourly rates and budgets. The wizard warns when a sheet refers to data that has not been imported yet.
What does project management cost in QUANTICAL.ERP?
It is part of the platform at 12.90 euros per user per month, after a 90-day free trial with the full feature set. There is no limit on the number of projects and no add-on module.
