What time tracking has to do for lawyers and tax advisors

A tax or legal practice of three to twenty people has two kinds of work. The recurring kind: bookkeeping, payroll, annual accounts, standing engagements on a fixed rhythm. And the one-off kind: a tax audit, an appeal, contract drafting, a dispute. Both are handled by the same people, and both have to be billed traceably in the end.

Time tracking is the basis for that, not the goal. The goal is to know which standing engagement still pays for itself at its flat fee, which client gets far more hours than they pay for, and whether the practice stands in December where it planned to in January.

QUANTICAL.ERP is built for that, not as a replacement for your professional software. DATEV, files and deadlines stay where they are. Here, time is recorded, engagements are billed and the practice is run as a business.

How lawyers and tax advisors work with QUANTICAL.ERP

Clients and engagements

Each client is created with contact person and billing address, each engagement as a project underneath: annual accounts 2026, ongoing bookkeeping, appeal proceedings. Standing engagements get monthly budgets, one-off engagements a budget with a term. Only people assigned to the engagement can book on it.

Rates per fee earner and engagement

The hourly rate sits on the assignment of a person to an engagement, with a validity period. Fee earners, paralegals and trainees book at their rates, a long-standing client at their terms. A rate adjustment at the turn of the year changes no old bookings.

Flat fee, statutory fee and hourly fee on one invoice

The monthly invoice run produces the hourly fee from bookings times rate, individually per engagement or grouped per client. Flat fees for standing engagements, statutory fees and disbursements are added as manual lines with quantity and unit price. The receivable is created automatically, billed hours are locked.

See which standing engagement pays for itself

Bookings times rate produce revenue, stored salaries produce cost. For a standing engagement with a flat fee, the income statement shows whether the hours actually invested fit the fee, and the projection shows where the year ends. Pivot reports per client, engagement and employee export to PDF and Excel.

Vacation, sickness and capacity in view

Vacation requests and sick leave run in the platform, with remaining days, public holidays and sick-leave rate. Before the year-end season you see who is out when and how much capacity the team actually has.

Where Excel and the time module of professional software fail small practices

Many practices record time in Excel or in an add-on module of their professional software. Both collect hours, but neither says whether a standing engagement still pays for itself at its flat fee. The owner does that calculation once a year, when it is too late to adjust the price.

Then there is the handover at month end. Hours are exported, rates mapped, invoices written. That is where the errors the client finds come from: units on the wrong engagement, hours billed twice, a missing record.

And the list forgets. It shows the state, not how it came about. Whoever has to explain to a client why the bookkeeping took twice as long in March needs every booking with date, author and description.

Frequently asked questions from lawyers and tax advisors

Does QUANTICAL.ERP replace DATEV or our practice software?

No. Bookkeeping, tax returns, files and deadlines stay in your professional software. QUANTICAL.ERP takes over time recording, fee billing, receivables and the controlling of the practice as a business.

How do we bill flat fees and statutory fees?

As manual invoice lines with description, quantity and unit price, on the same invoice as the hourly fee. QUANTICAL.ERP does not calculate the statutory fee amount itself; that comes from your professional software or your fee table.

How do we see whether a standing engagement still pays for itself?

The standing engagement carries a monthly budget equal to the flat fee. The income statement sets the hours actually booked times rate against it, continuously, not only at year end.

Can fee earners and paralegals have different rates?

Yes, per engagement. The rate sits on the assignment of a person to an engagement, with a validity period. The same person can book at two rates for two clients.

Where is our data stored?

On servers in Germany. Sensitive personnel data is encrypted in the database, and access runs through roles. All data can be exported in full to Excel at any time.

What does QUANTICAL.ERP cost for a practice?

12.90 euros per user per month, cancellable monthly, all features included. Before that, 90 days free with the full feature set and no payment details required.
