My organisation

Maintain the companies of the organisation in QUANTICAL.ERP - create companies with code, address, contact, bank details and legal data, set the default invoice sender and the internal recipient.

An organisation in QUANTICAL.ERP can consist of several companies, for example a GmbH in Germany and a branch in Austria. Every employee belongs to one of them via the Company Code, and this company appears on their invoices, timesheets and bonus notifications. You find the list under Administration > My Organization.

Create a company

Add Company opens the dialog with five tabs. Only the Company Code is required, it cannot be changed later. The rest can grow, but whatever should appear on the invoice must be there before the first invoice run:

  • Basic: code and company name
  • Address: street, postal code, city, country
  • Contact: phone, e-mail, website and the Invoice Contact as the contact person on the invoice
  • Bank Details: bank name, IBAN, BIC
  • Legal: registration court, registration number, VAT ID and managing directors

New Company dialog in the Basic tab with company code and company name

The document icon next to a field shows that it is printed on the invoice or timesheet. Which field lands where is under Master data for billing.

Edit

The pencil opens Edit Company with the same tabs and three additions:

  • The Sender Line in the letterhead is generated from name and address. You can overwrite it and have it generated again with Reset
  • Default Invoice Sender makes the company the sender of all invoices as long as the invoice run does not choose another. There is only one default
  • The Internal Recipient tab holds the recipient address for invoices between your own companies, see Intercompany settlement (ILV)

Delete

The bin removes a company only when no employee is assigned to it any more. Assign the employees to another company code in the master data first.

Settings such as branding, invoice texts and public holidays apply per company. The default company provides the values, the others inherit them, see Administration.
