Credit notes
Bill projects in the self-billing procedure with QUANTICAL.ERP - billing type Credit Note, own number range, creation in the invoice run and tracking until payment.
Some clients do not want an invoice but settle themselves: they issue a credit note for the hours worked and pay it out. For such projects QUANTICAL.ERP creates no invoice but a credit note document with which you track the expected amount.
Set up the project
Choose the Billing Type Credit Note on the project, see Billing types in the project. The Billing Process switches to Credit note automatically. As Invoice File only Only timesheet or Nothing required remain, because no invoice is generated.
Create credit notes
In the Create Invoices dialog tick Credit Notes (optional). The preview shows the documents with the type G, the Next Credit Note field the next number from the own number range, for example G-2026-0001. The confirmation counts the credit notes separately from the invoices. If there is no project with billing type Credit Note, the dialog points that out.
The documents are created like invoices from the billable hours of the month with the consultants' hourly rates. Their time entries are locked, their amount counts in the tiles of the invoice list and in controlling as revenue.
Track
In the invoice list the documents carry the type Credit Note. Their status runs from Created via Pending, once you expect the credit note from the client, to Paid. If the payment stays out after the due date, the document appears as Overdue.
For credit notes QUANTICAL.ERP generates no PDF and no e-mail dispatch, the document comes from the client. A faulty invoice is corrected not with a credit note but with a cancellation.
Cancellation and correction
Cancel a sent or paid invoice in QUANTICAL.ERP - cancellation invoice with negative amounts, original invoice set to Cancelled and, if wanted, a new corrected invoice.
Intercompany settlement (ILV)
Settle revenue between the companies of one organisation in QUANTICAL.ERP - define recipients and create ILV documents along with the invoice run.
