Billing types in the project
The billing details of a project in QUANTICAL.ERP - single billing, group billing, collective invoice, credit note, billing process, invoice file and timesheet requirement.
How a project is billed is defined on the project. Open the project under Administration > Projects and go to the Billing Details section in the Configuration tab. The Client Project with Billing switch must be on and a Client selected.

Billing type
The Billing Type decides how many invoices come out of the hours of a month:
- Single Billing: one invoice per employee. Three consultants on the project make three invoices
- Group Billing: all employees of the project on one invoice, with one line per consultant
- Collective Invoice: all projects of a client on one invoice. The setting applies to the whole client: switch one project and QUANTICAL.ERP switches the client's other projects as well, showing you which ones beforehand
- Credit Note: no invoice, the client settles in the self-billing procedure, see Credit notes
- None: the project is not billed, its hours do not appear in the invoice run
With a collective invoice all projects of the client must carry the same billing details. Change them on one project and the dialog Apply billing details to all projects of the client asks whether to align the others.
Payment terms, order number and contact person
- Payment Terms (Days): the payment period, 30 days by default. It appears in the payment terms on the invoice, and on dispatch QUANTICAL.ERP calculates the due date from it
- Order Number: appears on the invoice and in the subject of the dispatch e-mail when filled
- Client Contact Person: the addressee on the invoice. Left empty, QUANTICAL.ERP addresses the invoice to the accounting department. Copy from Client takes the contact person from the client data
Billing process
The Billing Process says by which route the invoice reaches the client:
- Invoice dispatch: by e-mail out of QUANTICAL.ERP, see Send invoices by e-mail
- Invoice upload: you upload the invoice yourself in the client's portal. E-mail dispatch is blocked for these invoices
- Credit note: set automatically with the billing type Credit Note
In the invoice list the Process column shows the route as Dispatch, Upload or Credit note.
Invoice file
The Invoice File defines which files belong to an invoice, for the download as well as for the dispatch:
- Timesheet & invoice in one file: one PDF, the pages of the signed timesheet follow the invoice
- Timesheet & invoice as separate files: the invoice and one timesheet per consultant as separate files
- Only invoice: only the invoice PDF
- Only timesheet: only the timesheet, no invoice
- Nothing required: no file
Timesheet requirement
The Timesheet Requirement says how employees submit their timesheet in the month-end closing: Upload via QUANTICAL.ERP, Upload to third-party system or No timesheet. If the invoice file requires the timesheet as an attachment, QUANTICAL.ERP fixes the field to upload via QUANTICAL.ERP, because only then the file is in the system. With Timesheet upload by project lead only one person uploads a timesheet for the whole team.
The fields build on each other. The billing process appears only after the billing type, the invoice file after the process, the timesheet requirement after the file. So choose from top to bottom.
