Month-end closing

Check timesheets

As an administrator in QUANTICAL.ERP, see all submitted timesheets of a service period, open the AI check and return faulty timesheets for correction.

What employees submit in the month-end closing, administrators see collected under Administration > Billing in the Invoice preparation tab. The page shows per project and employee whether the timesheet is there and what the AI check found, before the invoice is created.

Invoice preparation for September 2026 with tiles and a table per project and employee

Choose the service period

At the top right you page through the months with the arrows. This is the service period, that is the month in which the hours were worked, not the month of submission or of the invoice.

The overview

The three tiles count the required, uploaded and missing timesheets of the month. Below is one row for every combination of project and employee with billable hours:

  • Invoice no.: the number once an invoice exists, a dash before that
  • Timesheet: green check for uploaded or confirmed in a third-party system, red cross for missing
  • AI check: the result of the check, a dash without a timesheet
  • Actions: view or download the timesheet, and delete it

The columns can be sorted and filtered. Drag a column header into the bar above and the table groups, for example by client or employee.

Open the AI check

If the timesheet is there, the AI check column shows the result: No deviation detected, the number of detected deviations or Check not possible. If no check has run yet, the Check button starts it.

A click on the result opens the AI check of the timesheet dialog. For hours, period, consultant, client and signature it sets side by side what is in the document and what QUANTICAL.ERP expects. Below stands the AI statistics with model, duration and time of the check. Open timesheet shows the PDF, Scan again with AI repeats the check.

Return a timesheet

If something is wrong, you have two ways:

  • Contact employee in the check dialog opens an email to the employee's work address with the deviations already listed
  • Delete in the Actions column removes the timesheet. A comment is mandatory so the employee knows what to correct. They are informed and upload the timesheet again in the month-end closing

Which projects appear here is controlled by the Timesheet requirement field on the project, see Configure the month-end closing. Projects without a timesheet requirement are missing from the table.
